This article provides a guide for administrators on how to manage user access and registration directly from their mobile devices using the User Management Portal.
Granting and Removing User Access
This feature allows you to add or revoke specific permissions for users, such as "Staff Secure," directly from your phone.
Prerequisite: The user MUST have an existing account in the app. Attempting to grant access to an email address that is not associated with an account will fail, and the permission will not be applied.
To Grant Access:
-
Navigate to the User Management Portal within your app.
-
Select the option to Grant Access.
-
Enter the email address of the user you wish to grant permissions to.
-
Select the specific security tag or access level you want to assign (e.g., "Staff Secure").
-
Enter your own administrator email address for confirmation. This will trigger a confirmation email to you, verifying that the action was successful.
-
The user will also receive an email notification informing them that they have been granted the new access level. The new permissions will be active the next time they open the app.
To Remove Access:
-
Navigate to the User Management Portal.
-
Select the option to Remove Access.
-
The process is identical to granting access: enter the user's email, the access level you wish to revoke, and your administrator email.
-
Important: Unlike the grant access function, the user will not receive an email notification that their access has been removed.
Registering a New User on Their Behalf
This feature is useful if a user is having difficulty creating their own account. You can create a complete profile for them.
-
Navigate to the User Management Portal within your app.
-
Select the Register User option.
-
Fill in all the required information for the user (e.g., name, email).
-
Upon submission, the system will create the account for them.
-
Their username will be their email address.
-
A default password will be automatically generated for them (e.g., companyname1!).
-
-
The user will receive an email containing their username and the default password.
-
This password does not expire, but the user can and should change it after their first login.
